Sequential Ringing Extensions allows Users to create groups or teams made up of individuals and/or Extensions which can then be called in the order they are designated. If the first member in the list does not answer, the call is automatically routed to the next and then the next until the call is answered or is sent to a defined termination point. A team member may represent a department with multiple individuals, or it may represent a single person with multiple contact numbers (their Extension, cell phone, landline, home phone, etc.).
Configuration
The fields are defined below--all are editable.
Name | Enter or change the name of the extension by editing this field. The names "Anonymous" and "Unknown" are not allowed. |
Extension | Enter or edit the extension number assigned to the ACD extension. This extension must follow the Configuration Pattern. To alter or add a Configuration Pattern, see the Config Section under the Phone heading. |
Owner | Assign or change the owner of the extension (the person to whom the extension is assigned.) |
Final Destination - If the call is not answered by any of the group members, there should be a graceful way to terminate the call or to direct it on to others who may answer. Final Destination provides that option. Choose from the following options in the "Final Destination Type" dropdown list:
Voicemail | Send the call to the Owner's voice mailbox by choosing the extension number of the Simultaneous Ringing extension. Also choose any other Extension as the Final Destination or send the call to the voice mailbox of any of the Personal Extensions on the account. |
Extension | Forward the call to any one of the Personal Extensions on the account. |
Personal Number | Send the call to any one of the Personal Numbers associated with Users on the account. |
None | Use "None" as the final destination if this Simultaneous Ring extension is to be included in another Simultaneous or Sequential Ringing group. In that case, the Final Destination of the "parent" extension should be the last stop. This also ensures that unanswered calls are returned to the parent extension to complete the call sequence. |
Add Sequential Ring Group Members
Group Members are those individuals or extensions to be rung when this extension is called. Remember to enter the Group Member Numbers/Extensions in the order they should be called (top to bottom in the list). Reorganize the list of Team Members by dragging and dropping them within the Team Member list.
Team Member Schedule
Set up a schedule for each Extension/Personal Phone Number that is added to the Sequential Ring Group. This ensures that those phone numbers only get called during times when they are available. There are four Scheduling options that can be assigned to a Team Member Schedule: Never, Always, Period, and Repeat.
- Never — When the Sequential Ring Group reaches this number it will automatically forward the call to voicemail. Add phone numbers with this schedule type to the bottom of your Sequential Ring list.
- Always — Auto Attendant will always use this Phone Menu.
- Period — Auto Attendant will only use this Phone Menu within a defined period. Define a Start Date and Time and an End Date and Time.
- Repeat — If the Period of time that calls are to be directed to this Member includes more than one week, set up a repeating schedule so that the call routing is the same each Monday, or Tuesday, etc. Select the days of the week when this member should receive calls.
